Data Deletion Instructions

How to ask us to delete your personal information, including information handled through ValeGifts Automation and Instagram messages.

1. Who handles your request

ValeGifts UK, operated by Valeria Estefania Martinez Trujillo (trading as ValeGifts UK), is responsible for the business processing described in our Privacy Policy. These instructions apply to ValeGifts Automation, our application for handling customer-initiated Instagram messages.

2. How to request deletion

  1. Email enquiries@valegifts.co.uk. You may use the subject “Data deletion request — ValeGifts Automation”, but no particular wording is required. You can also ask us through a direct message to @valegiftsuk.
  2. Tell us the Instagram username used to contact us and, if helpful, the approximate date of the conversation. Explain whether you want all personal information we hold about that enquiry deleted or only particular information. For a shop order, include an order reference only if it is relevant.
  3. We will review your request and respond through an appropriate contact channel. If we reasonably need to verify your identity, we will ask only for the minimum information necessary, such as confirmation from the Instagram account concerned.

You do not need to create a shop account, buy anything, log in to read this page, or use a special form. Requests are normally free. Do not send passwords, payment-card details, access tokens or copies of identity documents with your initial request.

3. What we can delete

We will check the personal information under ValeGifts' control, including relevant business-inbox or customer-support records, and delete information where the right to erasure applies. If a provider processes that information on our behalf, we will take the applicable steps to have it deleted there too. We will tell you what action we have taken, or explain if we hold no separate record to delete.

The initial version of ValeGifts Automation uses simple keyword rules, not AI. It is currently in dry-run testing and sends no live automated replies. Cloudflare Workers processes events temporarily; the automation does not keep a conversation archive or store message text, customer names or personal identifiers in KV or D1. It must not log message content, user identifiers or tokens. There is no separate stored conversation to erase from this automation after the event has been processed. This does not remove the original messages from Instagram or imply that Cloudflare keeps no operational metadata.

These instructions describe a request handled by our team, not an instant deletion button or an automated deletion callback. Read more about the scope and retention of this processing in our Instagram privacy notice.

4. Messages retained by Instagram

We can act on information under our control using the tools available to our business account, but cannot promise to erase all copies held independently by Meta or other recipients. Deleting a conversation from your own inbox does not necessarily delete all other copies. To manage information held by Instagram itself, use Instagram's privacy and account controls and consult the Meta Privacy Policy. You do not need to delete your Instagram account to make a request to ValeGifts.

5. Timing and exceptions

We will respond without undue delay and normally within one month of receiving your request. Where legally permitted, complex requests or a number of requests may require up to two additional months; we will tell you within the first month and explain why. If identity checks are necessary, we will ask promptly and explain any effect on the response period.

The right to erasure is not absolute. We may need to retain limited information to meet a legal obligation, such as required accounting records, or to establish, exercise or defend legal claims. If we cannot delete some information, we will explain the reason and the applicable retention criteria. We keep only the minimum record needed to handle and demonstrate our response to your request, rather than retaining the entire conversation for that purpose.

You can ask for an update by replying to our email. If you disagree with our response, you can complain to the UK Information Commissioner's Office (ICO) and seek a judicial remedy. You do not have to contact us before approaching the ICO.
